Overview
We’re looking for a highly organized, proactive, and resourceful Executive Assistant to provide high-level administrative and operational support to a client.
This is more than a calendar-and-email role. You’ll help keep priorities moving, coordinate people and information, prepare for important meetings, follow up on commitments, and make sure the executive can focus on the work that matters most.
The ideal candidate is someone who naturally brings structure to chaos, pays attention to the small things, communicates clearly, and is comfortable taking ownership without needing to be reminded at every step.
What You'll Do:
Manage the executive’s calendar, meetings, appointments, and daily priorities.
Coordinate internal and external meetings, including scheduling, agendas, meeting links, and logistics.
Monitor incoming emails and communications, flagging priorities and supporting timely responses.
Draft professional emails, correspondence, briefs, presentations, and other documents.
Prepare the executive for meetings by gathering relevant information, documents, and talking points.
Take meeting notes, document decisions, and track action items through to completion.
Follow up with team members, clients, partners, and other stakeholders on outstanding tasks and commitments.
Conduct research and prepare summaries, reports, and briefing notes to support decision-making.
Coordinate travel arrangements, events, speaking engagements, and other executive commitments where required.
Maintain organized digital files, records, contacts, and important documents.
Support selected projects and initiatives led by the executive.
Help coordinate communications, content, business development, and external engagements when required.
Handle confidential and sensitive information with a high level of discretion.
Identify opportunities to improve systems, workflows, and the executive’s overall productivity.
Take on other responsibilities that help the executive and wider team operate effectively.

What You'll Bring:
Previous experience in executive assistance, administrative support, operations, project coordination, or a similar role.
Excellent written and verbal communication skills.
Strong organizational and time-management skills.
Exceptional attention to detail.
Ability to manage multiple priorities without losing track of important details.
Strong follow-through — if you say you’ll do something, you get it done.
Good judgment and the ability to handle confidential information appropriately.
Ability to work independently, anticipate needs, and take initiative.
Confidence communicating with senior executives, clients, partners, and other stakeholders.
Proficiency with productivity tools such as Google Workspace, Microsoft Office, Notion, Slack, Calendly, and similar platforms.

You'll Impress Us If You:
You have supported a founder, executive, senior leader, or high-performing team before.
You are naturally proactive and tend to think “what needs to happen next?” rather than waiting for instructions.
You can manage a busy calendar while understanding the priorities behind the meetings.
Have strong writing skills and can make an email, document, or presentation sound polished.
Are comfortable doing research and turning scattered information into a clear summary.
Have experience supporting business development, content, social media, events, or speaking engagements.
Are comfortable working across different teams, personalities, and time zones.
Can bring calm, structure, and good humor to a busy working environment.
Are tech-savvy and enjoy finding smarter ways to get things done.
